By using our site or services, you agree to the practices described below.

Information We Collect

  • Identifiers & contact details — your name, phone number, email address, and service address.
  • Vehicle & service information — vehicle details, service requests, scheduling preferences, and notes you provide.
  • Payment information — handled by our payment processor (Stripe). We do not store your full card number or payment credentials.
  • Account & rewards data — if you create an account or earn rewards, we store related details to manage your profile and benefits.
  • Usage & device data — basic analytics such as pages visited, referrer, browser type, and approximate location, collected automatically.

How We Use Your Information

Your information is used to:

  • Respond to inquiries and booking requests
  • Confirm service details, scheduling, and availability
  • Process payments and manage recurring maintenance plans
  • Send service-related updates, reminders, and confirmations
  • Operate, maintain, and improve our website and services

We do not sell or rent your personal information, and we do not share it with third parties for their own marketing purposes.

SMS / Text Messaging

By providing your phone number, you consent to receive text messages from Polish Theory related to your bookings, scheduling, and services (for example, confirmations, reminders, and updates). Message and data rates may apply, and message frequency varies.

You can opt out of text messages at any time by replying STOP, or reply HELP for assistance. Opting out of texts will not affect our ability to provide your requested services through other channels. We do not share your mobile information or consent with third parties for marketing.

Booking & Payments

Submitting a one-time booking request or quote request does not constitute a charge. All one-time services, pricing, and payments are confirmed directly with you prior to service.

Payments are processed securely through our third-party payment processor, Stripe. We do not store your full card number or payment credentials on our systems.

Billing and Payment Information (Recurring Replenish Plans)

When you enroll in a Replenish maintenance plan, we collect your name, phone number, billing address, email, the plan you selected, your vehicle type, and your payment details. These plans are recurring and bill automatically each month (or on the cadence you select) until you cancel.

Your payment card information is collected and processed by our third-party payment processor, Stripe, under Stripe's privacy policy. We do not store your full card number. We keep a secure token that lets us charge your saved payment method on a recurring monthly basis until you cancel.

We use this information to:

  • Charge the recurring fees you authorized.
  • Send receipts and confirmations.
  • Notify you of renewals, price changes, and failed payments.
  • Prevent fraud.
  • Meet tax and accounting requirements.

We store a record of your consent to recurring charges, including the date and time you agreed and the plan terms you agreed to.

Retention: we keep your billing records while your plan is active and afterward as required by law — at least 3 years, or 1 year after your plan ends, whichever is longer.

You can update your payment method or cancel your plan at any time from your account.

How We Share Information

We share personal information only with trusted service providers who help us operate our business, and only as needed to perform services on our behalf:

  • Stripe — secure payment processing and subscription billing.
  • Twilio — sending booking and service-related text messages.
  • Email & analytics providers — sending confirmations and understanding site usage.
  • Scheduling & booking management system — booking details (name, contact information, service address, and appointment details) are processed through the system we use to manage appointments and site analytics.
  • Google — we use Google Ads conversion tracking, which sets cookies to measure the performance of our advertising. You can manage ad personalization at adssettings.google.com.

These providers are bound to use your information only for the services they provide to us. We may also disclose information if required by law or to protect our legal rights.

Data Retention

We retain your personal information only for as long as necessary to provide our services, comply with legal and tax obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we securely delete or anonymize it.

Data Protection

We take reasonable administrative, technical, and physical measures to protect your information and prevent unauthorized access, disclosure, or misuse. No method of transmission or storage is 100% secure, but we work to safeguard your data.

Cookies & Analytics

Our website may use cookies and basic analytics tools to understand site traffic and improve user experience, including Google Ads conversion tracking cookies as described above. You can control cookies through your browser settings. This data does not personally identify you. Our website does not currently respond to browser "Do Not Track" signals.

In accordance with California's Automatic Renewal Law, our recurring maintenance plans clearly disclose the recurring charge amount, billing frequency, and renewal terms before you enroll. Plans continue until cancelled, and you may cancel at any time by contacting us.

Children's Privacy

Our website and services are intended for adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
